Privacy statement — Owner's Hub
Zhongtong Bus Australia Pty Ltd (ABN 47 685 959 568, "ZBus") operates the Owner's Hub. This statement says what we collect through it, why, where it is held, how long we keep it and how to contact us. It sits alongside ZBus's general privacy policy and is written to meet the Australian Privacy Principles under the Privacy Act 1988 (Cth). Version 1.0, 27 September 2026.
What we collect
- Organisation details: operator name, access code, and the ZBus Management System owner reference used to show you your fleet's parts catalogues.
- Individual account details: your name, work email, role (user or administrator), and a one-way hash of your password. We never store the password itself.
- Access log: each sign-in (with browser type), page opened, document downloaded, video played, search made (including searches that found nothing), fault-code lookup, parts search, and feedback or comments you leave.
- Requests you send: access requests from the public page (name, organisation, role, email, phone, fleet, message); support tickets and attachments if that feature is switched on for your organisation; parts enquiries (sent to the ZBus Management System, see below).
- Training records (ZBus Training Academy): which modules you watched to the end, each assessment attempt with its score and the questions answered incorrectly, any employee or licence ID you choose to enter, and the certificate number issued when you pass. These are visible to you, to your organisation's hub administrator and to ZBus. Anyone holding a certificate number can confirm, at /verify, the name, organisation, module and date on that certificate.
- Postcodes entered in the support-centre finder, without any link to a person.
Why
- To give named, auditable access to operator documentation — operators and their regulators need to show who was trained on what.
- To let your organisation's administrator manage its own people.
- To answer your requests and enquiries.
- To see which material is used and what people search for and cannot find, so we improve the documentation. This analysis is by organisation and by page; we do not profile individuals.
We do not sell or share this data with anyone outside ZBus and the service providers below, and we do not use it for marketing.
Where it is held
Application: Vercel, syd1 — Sydney, Australia. Database: Neon (PostgreSQL on AWS), aws-ap-southeast-2 — Sydney, Australia. Both are Australian regions; see where your data is held. Parts catalogue data and parts enquiries are held in the ZBus Management System (a separate ZBus system) and are not stored in the hub. Video and document files are served from Vercel's content network, which has locations worldwide including Australia.
How long we keep it
- Account details: while your organisation has hub access, then 12 months, then deleted. An administrator can switch off a person's account at any time; switched-off accounts are deleted after 12 months.
- Access log: seven years from the date of the entry, then deleted. Your organisation's administrator can see the last 100 entries for your organisation at any time and can ask ZBus for a full export.
- Access requests, tickets and feedback: 24 months.
- Postcode searches: aggregated after 12 months; the raw entries are deleted.
Your rights
You can ask to see, correct or delete the information we hold about you. Your organisation's administrator can correct your name and email; for anything else, or to complain, contact ZBus below. We respond within 30 days. If you are not satisfied you can complain to the Office of the Australian Information Commissioner (oaic.gov.au).
Security
Access is by individual password over HTTPS. Passwords are hashed with scrypt. Sessions expire after 14 days. Administrative access to the hub is limited to named ZBus staff. We will tell affected organisations promptly if we become aware of a data breach that is likely to cause serious harm, and will notify the OAIC where the Notifiable Data Breaches scheme requires it.
